Growth Doesn’t Create Chaos. Weak Systems Do.

For a long time, I’ve watched talented office managers and rising leaders quietly carry the emotional operational weight of dental practices.

The overwhelm.
The constant interruptions.
The pressure.
The lack of structure.
The feeling that everything depends on them.

And honestly… I kept seeing the same thing repeatedly:
Leaders are expected to hold everything together without enough support, leadership development, or operational structure.

Growth Stress Tests Your Systems

You know what I’m talking about. Monday morning you walk into a packed schedule that looks like there was no thought to how the clinical team was going to manage it. The phones are ringing with emergency needs, billing questions, new patients and your front desk team member called in sick. My 9am you start to feel grateful for any schedule cancellation and the coffee (now cold) sitting on your desk.

Days and honestly weeks like this expose cracks in your systems, communication breakdowns, gaps in the onboarding training you never got around to implementing and accountability issues with the team.

It feels like you are drinking from a firehose and not really sure how to fix it.

Honestly, you are not alone. Office Managers and Administrators all over America are saying “YES, I know exactly what you mean.”

Systems Don’t Implement Themselves

First, let me just say, I am not a “systems coach”. Are systems a critical piece in the infrastructure of your practice. ABSOLUTELY. But, it’s not that simple, because systems don’t implement themselves. It takes leadership follow-through. You have to INSPECT what you EXPECT. Holding your team accountable, consistently. Reinforcing the expectations and core vision of the practice. In the midst of the day to day river flow of responsibility this can feel overwhelming. The good news is that this is actually your path to freedom from chaos and the creation of a much more calm structure to your day, week, month.

Buy-In Is Built. Consistency is Led.

So, the big question is “How do I get my team onboard?” I have thought that myself many times. This is what I have found are the key ingredients to accomplishing that, There are three leadership habits that create consistency in team performance, Let’s break it down,

Clear communication of the expectations. Don’t assume your team knows what needs to happen. These are one-on-one conversations. Blanket statements in a morning huddle won’t cut it. You might as well save your breath. The team members that are already performing well don’t need the reminder and the ones slacking off don’t think it’s them. When was the last time you had an accountability conversation with a team member? Let me give you a secret to the success of that. It’s the next habit.

Connect the purpose. Give your team the “why it matters” reason for what you are asking of them. One of my core beliefs is that people genuinely do want to do the right thing, Especially as a dental professional. We chose this because we want to help people. Your team members want to help the patients and I believe they want a successful, chaos free work environment. Help them see it.

Connect the outcome by showing them the impact on the team and the practice when there is a breakdown in performance. This can be presented in a calm tone with understanding and empathy. No one ever said the field of dentistry was easy. The jobs are highly technical, demanding and detailed. But, it is also rewarding. Every step of the patient experience is important. From the very first phone call to the check out process of a single appointment. How we present as individual team members and as a whole practice matters.

These leadership habits are only a part of the sustainable strength you need as an Office Manager or rising leader in your practice. I really do believe that leaders deserve better support. So over the last several months, something has been quietly forming behind the scenes in my business.

A Final Thought....

A compass doesn't carry the travelers. It provides direction.
